A fridge temperature log is the simplest record in the kitchen and the one most often failed at audit — not because the fridges are warm, but because the log has gaps, no corrective actions, or no signature. An auditor is not really checking your fridges. They are checking whether you can prove, on paper, that you have been checking them. What the log is actually proving
HACCP is built on monitoring critical control points and keeping the records that show you did. Cold storage is a control point: fridges have to hold cold enough that bacteria do not multiply, freezers cold enough to stay frozen. The log is the evidence. When an auditor asks for your temperature records, they are testing one thing — can you produce a complete, signed, retrievable history for any date they pick? If you can, the conversation is short. If there are holes, it is not.
The seven columns a temperature log needs
A defensible daily log captures seven things. Anything less and the record cannot stand on its own.

The safe bands the readings are checked against follow your jurisdiction's food code — a chilled unit at or below roughly 4–5 °C, a freezer at or below −18 °C are common targets. How often to check
The widely-used standard is twice a day per cold unit — once near open, once near close. The morning check confirms the unit held overnight; the evening check confirms it held through service. Once a day misses a half-day of risk; twice a day brackets the working period at both ends. Some operations log more (high-risk units, delivery days), never fewer.
The corrective-action column is the one that matters
Here is the single most-cited gap on paper temperature logs: a reading was out of range, it was written down — and the "what we did about it" line was left blank. An out-of-range reading with a documented corrective action is a system working: you caught it, you acted, you recorded it. An out-of-range reading with nothing beside it is a hazard you noticed and ignored. The second is far worse than the temperature itself.
A corrective action does not have to be elaborate. "Door found ajar, closed, re-checked 30 min — 4°C" is a complete record. "Moved stock to backup unit, called engineer" is a complete record. The point is that the failure has a documented response attached to the same timestamp.
Why gaps are worse than failures
Most chefs worry about a high reading. Auditors worry about a missing one. A month with a couple of documented, corrected excursions reads as a control system that works. A month with five blank days reads as a control system that is not being run — and the auditor cannot tell whether those five days were fine or disastrous, which is the whole problem. Completeness beats perfection. A complete log with honest, corrected failures is stronger evidence than a suspiciously perfect log with holes in it.
Paper, spreadsheet, or app
A printed grid on a clipboard works — many excellent kitchens run on exactly that, and a blank monthly template you print and pin up is a perfectly good start. Its weaknesses are the human ones: a clipboard that goes missing takes the month with it, handwriting that an auditor cannot read is a reading that does not count, and nobody can tell at a glance whether a day was skipped until the gap is already permanent.
