"How much food per person?" is the question that decides whether you run short at a wedding or throw away a third of what you cooked. Both are expensive — one in reputation, one in cash. The honest answer is that there is no single number, but there are reliable starting points, and three variables that move them in predictable directions. Get the starting point and the three variables right and you will plan quantities you can trust.
Start with the three variables, not the number
Before any portion chart is useful, three things decide how much a guest actually eats:
- Length of the event. A two-hour reception and a five-hour wedding are different appetites. People graze for as long as food is in front of them. Quantity scales with hours, not just heads.
- Time of day. A lunch crowd eats less than a dinner crowd. A mid-afternoon event that straddles no mealtime eats least of all — people came for the occasion, not the meal.
- Plated or self-serve. A plated meal is portion-controlled: you decide the gram weight. A buffet is appetite-controlled: guests serve themselves, and they take more than you would plate. Self-serve always needs more food per head than plated for the same satisfaction.

Total protein per head ends up slightly above a single plated portion, because choice drives consumption up.
Sides, bread, and dessert
- Buffet sides: 100–140 g per guest per side dish, dropping as the number of sides rises — more options, smaller average serving of each.
- Bread: 1–2 pieces per guest for a plated meal; a basket per table.
- Dessert: one plated portion per guest. For a dessert table or grazing finish, 2–3 small pieces per guest — people sample rather than commit.
Drinks
The standard planning assumption for a hosted bar: one drink per guest per hour, weighted to the first hour (people drink faster early). A four-hour evening event lands around 4–5 drinks per guest. Split it roughly to your crowd — a common starting split is 50% wine, 30% beer, 20% spirits/soft — then adjust for what you know about the event.
The buffer — and where it does not go
Plan a buffer, but plan it where running short hurts, not everywhere. A 5–10% buffer on the protein of a plated event is sensible — running out of the main is the unrecoverable failure. A blanket 20% buffer across every component is just waste with extra steps: you will bin most of it, and the cost lands on a job you have already priced.
